Subject: Preparing for the booking system change Dear team, We will begin using the new booking system on Monday, 6 July. Although the supplier has tested the main functions, we should not assume every unusual request will work perfectly from the first morning. Please keep the paper booking diary until the end of July. It is a backup, not a second place where all bookings must be copied. On Friday afternoon, the reception desk will close at four rather than five so that the final data transfer can take place. Telephone calls will still be answered by the customer support team. If a customer wants to change a booking during that hour, take a message and tell them we will call back on Monday. Do not promise that the change has already been made. Training sessions are available on Tuesday and Thursday at lunchtime. Staff only need to attend one session, and both will cover the same material. Anyone unable to attend should email me by Wednesday; I can arrange a short individual demonstration. Please report problems using the shared form, including the booking number and what happened. General comments such as “it is broken” make it difficult to investigate. We will review the reports after the first week before deciding whether further training is necessary. Thanks, Priya

A little clarity first

Reasons · Conditions and permissions · Stated details

Use the reason actually given; a plausible reason from outside the text is not enough. Keep the stated condition or permission; a rule does not prove that an event happened. Keep the requested person, time, place or amount attached to the correct event.

We meet inside because it is raining.

Viewpoint and evaluation · Stated details

Look for evaluations and reservations; do not turn a positive fact into unconditional approval. Keep the requested person, time, place or amount attached to the correct event.
